Official Language

The official language of the conference is English. All the camera-ready manuscripts should be submitted in English, and presentations should be made in English.

Proceedings

Each accepted paper reaching us in time will be published in the volume of confeence proceedings that will be distributed at the registration desk. Selected papers may be published in a special issue of journal Acta Polytechnica Hungarica.

Opening Hours of the Registration Desk

The registration desk will be open during the conference.

Cancellation and Refund

Cancellation regarding registration fee is possible in written form received no later than March 5, 2024. In this case 80% of the received sum will be transferred back. No reimbursement is possible after this deadline.

Paper Presentation

All paper must be presented either in oral session or in poster session. If a paper, included into the proceedings, fails to be presented any way at the conference, all authors of the paper will be bar out from paper submission to conferences of the organizers in the future.

Oral Presentation
Presentations can be made by using computer and data projector. All authors are kindly asked to take their presentation on USB drive. To present the paper it is not allowed to use own computer. Conference room is supplied with data projector with PC.

Poster Presentation
If you choose to present your paper in a poster session, not in an oral session, please prepare the presentation into a large (70x100 cm) sheet, bring it with you to the conference and post it to the chart. Poster presentation does not mean just to print out your final paper, but it should be edited to make it scenic.

Internet

There is wireless internet access at the university.

Smoking

Please, be so kind to your lungs and your colleagues by not smoking in the building and social events of the conference.

The official currency of Vietnam is the Vietnamese Dong (VND).

Visa

Please, check if you need visa in order to enter Vietnam.

Vietnamese visa is a kind of travel documents granted by Vietnamese competent authorities, providing permission to travel to and enter Vietnam. An electronic visa (E-visa) is one of visa types issued to foreigners by Vietnamese Immigration Department via electronic system. Vietnam E-visa is valid for maximum of 30 days, single entry. Outside Vietnam foreigners who want to enter Vietnam can personally apply for E-visa or through the inviting/guaranteeing agencies and organizations.

E-visa fee is paid via electronic payment gateway as prescribed by the Immigration Department. The fee will not be refunded if the application is refused. List of Countries that allowed E-visa issuing. List of Ports that allowed foreigners enter and exit Vietnam by E-visa.

Conditions for being granted e-visa:

• Outside Vietnam foreigners;
• Holding valid passport;
• Not falling into the cases of suspension from entry prescribed in Article 21 of Law on foreigners’ entry into, exit from, transit through, residence in Vietnam.

Visa application sites:

• for outside Vietnam foreigners,
• for inviting, guaranteeing authority/organization,
• for airlines.

Notes:
E-visa holders in Vietnam may be considered to get new visa if being invited/guaranteed by authority/organization/individual in Vietnam in accordance with Law on foreigners’ entry into, exit from, transit through, residence in Vietnam. Foreigners who entry Vietnam must comply with Vietnamese law. Inviting/guaranteeing foreigners in accordance with Section 1, Article 16, Law on foreigners’ entry into, exit from, transit through, residence in Vietnam; can be applied through electronic system (click here). Notice: Foreigners falling into the cases prescribed in Clauses 1, 2, 3 and 4, Article 8 of the Law on foreigners’ entry into, exit from, transit through and residence in Vietnam, shall not apply for e-visa on this Website. Visa Letter Request

If you require a Visa Letter of Invitation from the conference organizers, please, tick the appropriate box during the online registration.

Please, note:

• It is IEEE policy to issue Visa Letter of Invitation only to speakers, authors, committee members and attendees paid in full. In this case wire transfer payment is acceptable only. Payment by credit card is not eligible for sending a visa invitation letter.
• We can provide Visa Letter of Invitation only for the conference. No other kind of documentation will be provided for use of visa applications.
• Request for a hard copy visa letter will be subject to a EUR 20 fee to cover the cost of courier delivery, and will be added to your conference registration fee.
• It is stronly recommended to personally check entry and visa requirements before making travel arrangements, as there might be country-specific conditions. For most accurate information please contact the embassy/consulate of the country where the conference will be held, in your home country.
• Conference organizers will not issue any Letter of Sponsorship of Letter of Guarantee if you are required to do so by the immigration department. It is the participants' sole responsibility to obtain such documents.
• The conference will not refund anyone for cancellations due to visa rejections or participant's inability to enter the country.
• Conference organizers can not change the decision of any country's embassy/consulate or any other government departments, nor will the conference appeal to the embassy/consulate on behalf of the applicant.
• All questions/concersn regarding the status of your visa should be directed to the embassy/consulate of the country where the conference will be held, in your home country.
• In no event will the conference be liable for any loss or damage including without limitations, indirect or consequential loss or damage, or any loss or damage whatsoever arising from loss of data or profits arising out of, or in connection with, the information provided on this page.
